The KCSE certificate is one of the most important documents every Kenyan should have. It not only serves as proof that you completed secondary education but also it’s a requirement in most academic and job applications. Whether you’re applying for university enrollment or a travel visa, you need your KCSE certificate as a supporting document.
However, the chances of losing your KCSE certificate are high, especially if you completed your studies a long time ago and haven’t used it in a while. Losing your KCSE certificate could make you miss out on many opportunities. Therefore, you should replace it as soon as you realize that you don’t have it.
Replacing a lost KCSE certificate is a simple process which can be done both online or physically. Here is the guide on how to replace a lost KCSE certificate online.
Requirements to replace a lost KCSE certificate
- Police abstract
- Copy of ID/ passport
- Passport photo
- Parents’ or guardians’ original ID & birth certificate of the minor
- Copy of lost KCSE certificate
- Sworn affidavit for the lost certificate
- Letter of recommendation to the CEO of KNEC from your Head Teacher or county/subcounty Director of Education if the school has closed down
- Original confirmation from the Registrar of Persons on your identity
- Recommendation letter from your employer to the CEO of KNEC
- Original certificate of marriage or copy of gazette notice if you have changed your name
Online process to replace a lost KCSE certificate
As mentioned, replacing a lost KCSE certificate is an easy process which can be done through the KNEC website. Here are the steps:
- Visit the KNEC website and create a QMIS (Query Management Information System) account. Input your accurate details such as name, postal address and email address.
- You will receive your login details via email. Enter the username and password in the QMIS login window to access the dashboard.
- Once you have logged in, click Lost Certificate on the top menu bar
- Fill in the necessary details i.e your exam index number, type of exam and the year you took the exam the click Find
- Click on your name when it pops up on the screen to proceed
- Upload all the required documents i.e copy of your ID/passport, passport photo, copy of the lost KCSE certificate, police abstract, sworn affidavit, letter of recommendation, and original confirmation from the Registrar of Persons
- After uploading, click Attach then click Submit to send your application
- After submitting, you will recieve a message from KNEC with a Paybill and account number and amount to be paid for application fee. This is usually Ksh 5220. Pay the amount using the information provided for your application to be processed
- Once the KCSE certificate is ready for collection, you will recieve a notification. You can also monitor the progress through the QMIS portal
- Visit the KNEC offices with your valid ID/passport to collect your KNEC certificate. For minors, they should be accompanied by the guardian/ parent carrying the birth certificate of the minor and original ID/passport of the parent
Physical process to replace a lost KCSE certificate
In case you don’t have access to the internet or prefer doing a physical application, here are the steps you should take:
- Visit the KNEC offices with all the required documents and fill in the application form accordingly
- Pay the processing fee of Ksh 5220 to KNEC’s account in either of the following banks – Equity Bank, KCB, Co-operative Bank and National Bank of Kenya
- Attach the bank slip and all the other required documents to the application form
- Place the application form and documents in a brown envelope then address it to

- After submitting, you will wait for about 60 days for the certificate to be ready
- Once it’s ready, you will recieve a notification informing you to proceed to the collection step
- Visit the KNEC offices with your original ID/passport. For minors, parents and guardians should accompany them with their original ID/passport and the minor’s original birth certificate
Note: Always have copies of your documents to make it easier to replace them in case they get lost. Certificate must be collected within 2 years. Failure to do so will result in the documents being disposed without informing the applicant
